The Document Management System is the cornerstone of the case system. It encloses all messages related to a case, whether derived from external sources or generated by the internal processes of the handling of the case by the carrier’s executives. These messages can be single documents and / or document clusters (e.g. a message with an attachment) that CITE.DocuMan handles according to their current configuration, either as single documents or as document clusters which it documents as one.

Documents are documented with metadata that are tailored to the needs of each installation and can include free fields, fields with structure and type as well as lists and hierarchies of terms.

CITE.DocuMan can inherently handle a wide range of widely used file formats, such as pdfs, MS Office documents, many image and video file types, and can cover additional formats through plugins. Directly connected to the Electronic Protocol (CITE.Registry), it can assign protocol numbers to documents that it handles with great flexibility of rules. Access to documents can be specified at both document and user level, but more abstract structures are supported too, like for example at case / department level. Documents can be linked to workflows designed to produce or handle them. CITE.DocuMan interconnects with the document editing bus which offers, besides the ability to extract and recognize text, abilities such as duplicate recognition, extraction of new body or document metadata, conversion of formats and more.

CITE.DocuMan can be replaced by an external system or service provided by the carrier as long as it meets the minimum requirements of CITE.Cases.
